Booking & Cancellation Policy

 

This policy outlines the terms and conditions for booking and cancellation with WanderLuxe Experiences LLC. By submitting a deposit, you agree to the terms outlined below.

 Booking and Payment Schedule

​

  • Initial Deposit: To secure your reservation for any trip, a non-refundable deposit is required at the time of booking. The specific deposit amount will be detailed in your trip proposal. Your booking is not confirmed until this deposit is received.

​

  • Final Payment: The final balance of your trip cost is due no later than 90 days prior to the departure date. We will send a reminder email before the due date. Failure to pay the final balance by the due date may result in the cancellation of your booking and forfeiture of your deposit.

 Cancellation by the Traveler

We understand that plans can change. To be valid, all cancellation requests must be submitted to us in writing via email. Cancellation fees will be applied based on the date we receive your written notification.

​

The following cancellation fees apply to the total cost of the trip:

  • 181+ days before departure: Full refund of payments made, minus the non-refundable initial deposit.

  • 0 to 180 days before departure: 100% of the total trip cost is non-refundable.

​

No refunds will be issued for unused services, late arrivals, or early departures from a trip.

​

Non-Refundable Trip Components

Please be advised that certain components of your trip are completely non-refundable immediately after booking due to the strict policies of our third-party suppliers. These items cannot be refunded at any time, regardless of the cancellation date. Such components may include, but are not limited to:

  • Internal or international airfare

  • Special event tickets or permits

  • Pre-paid promotional hotel rates

  • Specific non-refundable tour operator fees

The cost of any non-refundable components will be deducted from any potential refund amount.

Travel Insurance (Highly Recommended)

Travel insurance is not included in the cost of your trip. We HIGHLY RECOMMEND that all travelers purchase comprehensive travel insurance at the time of booking to protect their travel investment.

A comprehensive policy should cover:

  • Trip cancellation and interruption

  • Emergency medical expenses and evacuation

  • Baggage loss, damage, or delay

  • Travel delays and missed connections

WanderLuxe Experiences is not responsible for any financial losses incurred due to unforeseen circumstances. It is the traveler's responsibility to secure adequate insurance coverage.

Itinerary Changes & Flexibility

We are committed to providing the best possible travel experience. However, travel, particularly to international destinations, requires flexibility. We reserve the right to make minor modifications to the itinerary if they are deemed necessary for the safety, comfort, or overall quality of the trip. We will inform you of any significant changes as soon as possible.

Traveler Responsibilities

It is the traveler’s responsibility to ensure they have:

​

  • A valid passport with at least six months of validity beyond the trip's end date.

  • Any necessary visas, permits, or vaccinations for the destinations.

  • Arrived on time for all flights and scheduled tour departures.

​

Acceptance of Terms

Payment of your initial deposit constitutes your acceptance of these terms and conditions.
